Receiving and Acknowledging Student Accommodations Online

Important Notes

  • The process as described below is a revision of our system effective as of September 2017.
  • This process is available only for undergraduate, and Continuing Education (CCE) courses at this time.
  • Students must first activate academic accommodations online.
  • Any paper copy notice of academic accommodations should only be provided on SAS letterhead and signed by a SAS Program Coordinator. Any other form of print copy (or electronic copy, e.g. PDF) should not be considered valid.
  • Notice of student accommodations are sent from SAS weekly via email for each course.
  • At times, SAS may update a student’s accommodations during the term, and after an original notice of accommodations had been sent. In these situations, SAS would cancel what had been previously sent, update accommodations, then resend a notice giving the appearance that the update is new (even though it is actually an update).
  • In situations where you receive a repeat of accommodation, which would typically be an update, you must again review and acknowledge the update in the same way you would have acknowledged the original notice.
  • The following information is very important for you, as an instructor, to be aware of in the student academic accommodation self-registering process.
  • If you receive a notification email from SAS stating you have accommodations to review and after logging in at the SAS website your list appears blank, please contact Ron Schneidersmann with the subject line: “Blank Student List”, as there may be a technical issue with this notice. This may be caused by a delay in an instructor assignment to a specific course.
  • Given that student activation of accommodations and new intakes are constant throughout the term, we strongly encourage instructors to continually check course lists and updated accommodation lists throughout the entirety of the term
  • All of the information in the SAS database, including course information such as names and email addresses of instructors is a direct extract from Mosaic.
  • For courses where there is a Course Coordinator or an Administrator who is actively overseeing or administering academic accommodations, our system has the ability to add another person for accommodation viewing and acknowledgement purposes.
  • Should there be a need to add another person for accommodation review and acknowledgement purposes, please contact Ron Schneidersmann providing the course, course code, section number (e.g. CO1, CO2), name of alternate, and email address of alternate.
  • Submission of an alternate must be done for each course individually, each and every term.

Reviewing and Acknowledging Accommodations

The following option for accommodation review is recommended if you are instructing multiple courses, as you will be able to see all courses at once:

  1. Go to the SAS website and select “Instructor Log In”.
  2. Log in with your McMaster ID and password.
  3. On the “Instructor Information” page, select “Accommodation Letters”.
    • A list will appear of all student in all courses assigned to you.
    • This list includes repeated names of students who may be enrolled in multiple courses taught by you.
    • You can filter by course, student name, and date.
  4. Select “View Letter”.
  5. Select “Review PDF Letter” to download and view the letter to read.
  6. Select “Acknowledge” under “Step 2”.
  7. Submit.
    • Upon submission, an auto generated email will be sent to the student inviting them to communicate with you directly regarding the details and implementation of their accommodations.
    • After submission, you will be able to see the date it was confirmed.

The following option for accommodation review shows you all accommodations for a specific course:

  1. Go to the SAS website and select “Instructor Log In”.
  2. Log in with your McMaster ID and password.
  3. On the “Instructor Information” page, select “Courses”.
    • A list of courses will appear in the form of a table.
    • Select the appropriate course.
  4. Select “Accommodation Letters”.
    • A list of students that have requested accommodations for that course will appear.
  5. Select the student.
  6. Select “View Letter”.
  7. Select “Review PDF Letter” to download and view the letter to read.
  8. Select “Acknowledge” under “Step 2”.
  9. Submit.
    • Upon submission, an auto generated email will be sent to the student inviting them to communicate with you directly regarding the details and implementation of their accommodations.
    • After submission, you will be able to see the date it was confirmed.
