How do I know if students in my course are registered to receive accommodations?

  1. Visit the Instructor Portal (ClockWork).
  2. Log in with your McMaster ID and password.
  3. On the “Instructor Information” page, select “Accommodation Letters” for your course.
  4. Select “View Letter.”
  5. Select “Review PDF Letter” to download and review the letter.
  6. Select “Acknowledge” under “Step 2.”
  7. Submit.
    • After you click submit, the student will receive an auto-generated email inviting them to communicate with you directly regarding the details and implementation of their accommodations.

Who administers accommodations for tests and midterms?

Student Accessibility Services is responsible for booking tests and midterms for students who require accommodations in the Tim Nolan Testing Centre.

Students must activate their accommodations at least five business days (Monday to Friday) before their test date.

As an instructor, you must submit test details (date, start and end time, acceptable materials) to the Instructor Portal at least 10 business days before the test, and test copies at least five business days before the test. This must happen before we can book the test or midterm for your student(s).

Please use the Instructor Portal and do not email test details.

Who administers accommodations for final exams?

The Office of the Registrar arranges all accommodations for students with disabilities writing exams under the Registrar’s administration. The Registrar will confirm the exam’s date, time and location. You must attend the exam or provide contact information to answer questions promptly.

When is the deadline for instructors to submit test details and copies to SAS? What happens if I miss the deadline?

As an instructor, you must submit test details (date, start and end time, acceptable materials) to the Instructor Portal at least 10 business days before the test, and test copies at least five business days before the test. This must happen before we can book the test or midterm for your student(s). This process ensures that we have enough time to arrange accommodations for your student.

Please use the Instructor Portal and do not email test details and copies.

If these deadlines are not met, the instructor has the option to:

  • Provide student accommodation during the test, or
  • Reschedule the student test at the Tim Nolan Testing Centre with a write date of five business days after the initial test date.

What is the process for submitting test details and copies?

Test details and copies are to be submitted to the Online Instructor Portal. Please do not email test details and copies.

Instructors must submit test details (sometimes called “test definitions”), including the test date, time and acceptable materials, a minimum of 10 business days before the test.

Test copies must be submitted a minimum of five business days before the test.

I arranged for test accommodations. What happens after students write the test?

After students have written the test, you must pick up the tests from the Tim Nolan Testing Centre in MUSC B101. Tests will be available for pick-up as of 10:00 a.m. the business day after the test date.

Please bring identification when picking up tests. If another individual is appointed to pick up the tests, please provide the individual with a letter stating permission and ensure that they bring identification.

One of my students is demonstrating poor performance. How do you recommend I help them?

When checking in with the student, consider referring them to the Student Success Centre’s Writing and Academic Skills team or their Faculty’s academic advising office.

Remember, it is important to keep confidentiality in mind. Any information disclosed by a student about their disability or accommodation is private and confidential and should not be shared with any other person without the student’s expressed consent. It is important to not ask students about their disability diagnosis. If students wish to disclose, they will do so on their own.

I have questions about a student’s accommodations. Who should I talk to?

For additional information needed to accommodate a specific student, please connect with the student or contact the student’s SAS program coordinator identified on their accommodation letter.

What resources exist for assistive technology?

Students can access a variety of assistive technology on campus through Library Accessibility Services. Some software is available throughout the libraries, while others are only available in the Computer Accessibility Technology Spaces (CATS) or Consultation Room.

Some examples of the technology that students have access to include:

  • Screen readers
  • Motorized height-adjustable tables
  • Light-sensitive tablets/monitors
  • Scribe devices
  • Large print keyboards
  • Magnifying devices

What action is required from students to activate their accommodations?

After a student has registered with Student Accessibility Services and met with their program coordinator to finalize their accommodation plan, they must activate their accommodations each term using the Online Student Portal.

Students with test accommodations must activate them at least five business days (Monday to Friday) before their test date.

Do students need to book their own tests or mid-terms?

No. Student Accessibility Services will book tests/midterms. This cannot occur until after test details are submitted by the instructor to the Online Instructor Portal. Please do not email test details or copies.

Students will receive their tests/midterms booking confirmation via email three days before scheduled tests/midterms. For a given test, the confirmation email will include the date, start time, and location in the Tim Nolan Testing Centre (MUSC B101).

One of my students isn’t registered with SAS, but they would like to find out if accommodations could help them. Who can they talk to?
